Conference Statute

 

§1 General Provisions

1. 2. The conferences are taking place in the place and the date set by the Organizer.

3. The purpose of this Statute is to regulate the rights and obligations of the conference’s participants, hereinafter called the Statute, which constitutes an integral part of the contract of participating in the Conference.

4. The Conference Program consists of scientifical, educational, didactic, and promotional sessions, presentations, and lectures of the announced speakers, sponsors, and a panel discussion.

5. A detailed version of the Conference Program can be found on the website: www.leaftinevents.com .

6. The Organiser reserves the right to change the program and also the organisation of the Conference on the website: www.leaftinevents.com .

7.Participants of the Conference can be a natural person and a corporate entity, who signed the registration formular and have paid the price of the chosen package. The Conference is also attended by representatives of sponsors and media partners, as well as speakers, who have registered by filling in the appropriate form.

 

§2 Participants

1. To partake in the Conference as a participant it is necessary to sign up by completing a physical version of the form and sending the signed document to the Organiser at: e-mail: This email address is being protected from spambots. You need JavaScript enabled to view it. and then paying the terminable fee. The Organiser registers the participants within 14 days upon service of the registration form. Registration after the set date will not be possible.

 2. Sending through the registration form indicates the acceptance of this Statute and also abiding by the law and the arrangements made between the Organiser and the Participant. The Organiser is not responsible for the incorrect or untrue data given by the Participant
in the registration form.

3. On the Participant’s request, the Organiser can grant a certificate of confirmation of participation in the Conference.

 

§ 3 Fees

1. The Organiser puts information on the amount of the participation fees on an ongoing basis on the website: www.leaftinevents.com and also information about current discounts and offers.

2. The Participants pay the participation fee to the bank account indicated by the Organiser in the prepared invoice.

3. The fee has to be paid within 7 days from the day of receiving the information about the registration form’s acceptance.

4. In case of resignation of participation in the Conference up to 30 days before the Conference’s start, the Organiser will refund 100% of the fees. In case of resignation of participation in the Conference after the above-mentioned date, there will be no refund available.

5. The Organiser reserves the right to cancel a Participant’s registration in the event of failure to pay the participation fee in the designated term without being liable for the compensation.

6. The Organiser conditions that in case the fee is not paid by the above-mentioned date, in accordance with the Act on counteracting excessive delays in commercial transactions, the Organiser is entitled to compensation in the amount:

  • 40 EUR - when the fee is under 5.000 PLN,
  • 70 EUR - when the fee is over 5.000 PLN, but lower than 50.000PLN.

7. The Organiser conditions that the Participants is obligated to pay statutory interest for late payment for every day of delay.

8. The Organiser is liable for VAT invoicing for the confirmation of deposits made and will deliver them to the e-mail address provided during registration.

9. The Participant covers the cost of commuting to the event.

10. The Organiser provides, as per the participation fee:

  • In-Person access to all event platforms,
  • Presentations and a list of participants in pdf format during the event,
  • Photos and videos from the event,
  • Lunch, Food & Beverages,
  • Event documentation.

 

§ 4 Resignation of participation in the Conference

1. In case the Participant is unable to take part in the event, they are obliged to inform the Organiser immediately and organise a replacement.

2. A Participant, who resigns participation in the conference up to 30 days before the conference starts, is entitled to a 100% refund of the price to the provided bank account. In case of resignation from participation in the conference after the above-mentioned date, no refund is available.

3. Resignation of participation in the Conference can be sent to the Organiser via e-mail, immediately after the occurrence of the circumstances leading to the Participant being unable to take part in the Conference.

§ 5 Reclamations

1. Reclamations can be reported via e-mail: This email address is being protected from spambots. You need JavaScript enabled to view it. not later than 7 days after the day of the Conference ends or sent in written form to the Organiser’s headquarters address.

2. Reclamations handed in after the above-mentioned date will not be examined.

3. Reclamations will be examined in the order in which they are received within 14 days of reporting a reclamation.

 

§ 6 Final Provisions

1. In case the Conference does not take place for reasons exclusively depending on the Organiser, the Organiser is obligated to immediately inform the Participants and refund any paid fees to the provided bank accounts.

2. Any disputes resulting from partaking in the Conference will be examined by the Organiser’s home court unless common legislation in place poses differently.

3. In cases not regulated by this Statute, the civil code applies.

4. This Statute comes into effect the day it is uploaded on the website: This email address is being protected from spambots. You need JavaScript enabled to view it. .

5. The Organiser is not responsible for things left behind, lost, broken, or stolen from the Participants during the Conference.

6. The Participants have full material liability for any damages they cause on the premises, where the Conference is taking place.

7. The Organiser has the right to change the provisions of the Statute. Any changes take effect 14 days after publishing them on the website: This email address is being protected from spambots. You need JavaScript enabled to view it..

8. Regulations of this Statute are an integral element of the registration at the Conference and apply to the Participants.

 

§ 7 Personal data

According to art. 13 general personal data regulation from 27.04.2016, Dz. Urz. UE L 119 z 04.05.2016 (later ,,regulation”) informs that:

1. 2. The Organiser is liable for using personal data in a safe way and in accordance with the applicable laws.

3. On the basis of art. 13 i 14 RODO, LeaFt In Events Mikołaj Kasprzak with headquarters in Środa Wielkopolska, 20 października 44 street, zip code: 63-000, the Organiser informs that they process personal data in revelation with their business activities, especially for the following purposes:

  • Closing and execution of the event participation contract - legal ground for processing personal data being the indispensability to executing the contract, in which the Participant is a legal party. (art. 6 ust. 1 lit. b RODO),
  • in order to transfer the data provided during registration to the event sponsors and for them to send commercial information by email , pursuant to art. 6 ust. 1 lit. a RODO;
  • Administration activity (including closing and realisation of contracts with the suppliers of materials, devices, and services and also performing clearances), based on art. 6 ust. 1 lit. b, c RODO;
  • Event organisation (including closing and realisation of contracts with the Participants and speakers and also performing clearances), based on art. 6 ust. 1 lit. b, c RODO;
  • Protection from legal claims and/or debt investigation, based on art. 6 ust. 1 lit. f RODO;
  • Use of the Participants’ image (as a matter of materials documenting the event) to report and inform about the event in advertising, promotional, and informational materials, i.e. direct marketing, which is a legally justified interest of the personal data administrator, based on art. 6 ust. 1 lit. f RODO.

 4. Personal data was provided willingly and directly by you or indirectly by people registering their participation in the Conference. The scope of the acquired data includes the catalogue resulting from the registration form.

5. Personal data can be transferred to:

  • Processing entities e.g. IT tools and services supplier, accounting office,
  • Other data administrators, e.g. providing courier and postal services,
  • Public authorities and law courts, in the scope they are authorised to receive the data based on the effective law,
  • Cooperating entities.

6. In connection with processing the personal data, in accordance with the principles set out in RODO and also depending on the basis of processing the data, you have the following rights:

  • The right to request access to and rectification of personal data,
  • The right to request the removal of personal data,
  • The right to request the restriction of processing personal data,
  • The right to request a transfer of personal data,
  • The right to file an objection to processing the personal data,
  • The right to withdraw consent to processing personal data at any moment; withdrawing consent does not affect the lawfulness of processing carried out before the consent was withdrawn.

7. If it is considered that the personal data is being processed in a way not compliant with RODO laws, you have the right to file a complaint to the regulatory organ - president of personal data protection office (Prezes Urzędu Ochrony Danych Osobowych).

8. Personal data will be stored for 5 years or until an effective complaint about processing personal data is filed or consent to processing personal data is withdrawn, however not longer than the deadlines resulting from applicable law, including laws constituting the basis
for establishing or pursuing any claims or protection from such claims by the data Administrator.

9. Providing personal data is voluntary, however, refusal to provide data preclusive
to the realisation of the contract can result in refusal of realisation of the contract.

10. The Organiser does not transfer personal data outside of the European Economic Area
or to international organisations.

11. Personal data is not subject to decision-making, including automated profiling.
